The database consultant and the small business owner can work together to solve company problems or to expand for new growth.  By making use of the latest technology, owners are reducing their costs in several important areas.  Inventory control is one of those important areas.

Thankfully, the days of handwritten inventories are mostly behind us.  Depending on the items you stock, it may still be necessary to physically count a few items.  But with the labels available today it should be possible to scan them electronically.  Let the computer do the counting for you.

Barcodes were a major advancement for retail industries.  There are still a few smaller older businesses that manage to do without them, but they are the exceptions rather than the norm.

Business analysts believe that barcodes will soon become a thing of the past.  They will be replaced by radio frequency identification tags or RFID tags. The advantages of using RFID technology for inventory control are several. The tags can accurately be scanned from longer distances.  Some tags transmit signals continuously, an invaluable tool for mobile inventories, such as livestock or vehicles.  

The computer chip inside of the tag can store a variety of information.  The vendor and the date the item was received, the cost, price and profit margin are examples of information that can be stored in the chip.      

A database consultant can help you determine if RFID technology is the right choice for your small business.  It’s a matter of weighing the costs and benefits.  

If you happen to be a wholesale vendor interested in government contracts or selling items to large retailers, investing in RFID technology is absolutely essential.  Departments of the US government and retailers like Wal-Mart have required that all vendors place RFID tags on all shipments for several years now.  

RFID tagging is the most accurate and effective inventory tracking, supply chain management tool of the day, but not every small business needs it.  Your company might benefit more from GPS tracking or a combination of RFID and GPS.  

A database consultant can help you decide which kind of technology is right for your company by asking questions.  Some small business owners are suspicious or annoyed by all of the questions asked by consultants.  

Actually, you should be suspicious if the database consultant does not ask a lot of questions.  The value of consulting with an expert is to customize your system.  It is impossible for consultants to customize without asking questions.

Small Business Owners Can Manage Time With Communications Technology

Small business owners have a unique challenge when it comes to time management. On the one hand, every new customer presents a new challenge, creating additional work without adding additional resources to fill the need. On the other hand, if you hire more employees you’ll have to shell out the bucks on payroll, benefits, taxes, and other expenses, and you may not have quite enough work to justify that expense. What can the small business owner do?


The answer lies in the latest technology. I’m talking about a specific kind of technology, not just arbitrary and vague, undefined techno-gadgetry.


Specifically, a voice logger allows small business owners to handle customer service issues without creating reams of paperwork. You can record up to 10,000 hours of phone conversations, keep a backup record of every call, and reference them as necessary. The alternative is to pay someone to file written notes of your telephone conversations. That may be the way business owners in the past solved the problem, but that solution in today’s global marketplace is too expensive and creates an uncompetitive environment for your business.


Recorded conversations of phone calls between you and your customers can save you hours of research time when you have a customer service issue that needs special attention. Plus, your customer will be much more satisfied when you can pull up a specific record of past communications that will help you resolve any issues.


Another piece of relatively new technology that is gaining ground is the virtual assistant. Your virtual assistant will greet callers just like a receptionist, but you don’t have to pay her. Instead, you can have your customers route themselves to the correct department within your small business through a series of assistant-led button pushing commands. This increases customer satisfaction and saves you time and money.


Some of the things your virtual assistant can do include notifying you by e-mail when you have an incoming fax, forwarding your calls to you at any number with a simple push of a button, taking a message then sending you an e-mail to let you know who was calling, and forwarding calls to the appropriate person within your small business even if you just have two employees. But that is the short list. A virtual assistant can do so many more things as well.


Communications technology has come a long way in the last 10 years. Voice loggers and virtual assistants can work in concert to streamline the business processes of your small or medium-sized business. And the cost is much cheaper than you’d expect. You can have an integrated communications package that includes both services for less than a week’s entry-level salary. This allows you to handle customer service issues rapidly, take only the most important and appropriate calls as necessary while letting the others go to voice mail to be handled later, and you can manage your time as well as the complete set of small business resources within your company.


Whether you have a small business that operates out of your home or you commute to an office each day, modern communications technology is a small business godsend. Your time and your money are too important to keep wasting with business processes that are unrefined and not streamlined. If you own a small business, you should shop around for a virtual assistant and voice logger that is compatible with your business processes and will help you manage your time and money with an eye toward your bottom line.

There are a few reasons small businesses should consider the purchase of a document management system. Some of the more obvious reasons include businesses that are unnecessarily paying employees to organize, file, retrieve or deliver paper-based documentation, or businesses that have experienced set-backs that can be “traced” to paper disorganization or manual file mishaps. Another fairly obvious reason is that document management systems are one of the first steps small businesses can take to play the “big guys” on a more level playing field. Some of the less obvious reasons for smaller businesses to consider document management systems is to improve business processes and product quality overall. Nowadays document management systems can be equipped with so many features–and easily configured interfaces–that they can easily be classified as full-scale ECM systems, audit systems, training systems or even PLM systems. The great thing is that these types of systems are available to the small business sector.

Things to Consider
In the title of this article “imaging technology” is mentioned. Imaging technology is simply the technology that allows users to convert paper-based documents to electronic documents. This technology is obviously necessary for a company that is a first time buyer of a document management system but also comes in handy for companies that have been managing electronic documentation for years. Needless to say, there will always be a manual copy of some type of document that needs to be converted and stored (or revised and stored) in a business’s document management system.

Are You Convinced?
So if you’re convinced that your company is headed in the direction of a document management system here’s some of the document management system “basics” that every company, regardless of their industry should look for.

The Basics
Every document management system should provide a way for it’s users to file, locate and retrieve documentation quickly. This type of technology is fairly basic but may become more complex depending on your industry. Say for example that you’re a CRO for a large manufacturing organization. Over the years, you may collect so many documents in your system that more sophisticated retrieval technology may be required. Sophisticated options will include systems that provide for a greater range of meta-data, document word indexing, and/or more sophisticated search-retrieval techniques.

Document management systems should also be able to automate retention periods, distribute records, automate workflows and trace the “whos” “wheres” “whats” and “whys” of documentation.

Keeping Information Safe
Document management systems should also provide disaster recovery measures, user authentication and sufficient security.

Compliance
Compliance with governmental or additional quality standards is a big issue for some small businesses. Document management systems can literally untie the knots of many difficult compliance issues. Think about it! Most compliance is really about documentation and meeting documentation standards. Talk with the DMS vendors you’re considering if you’re concerned about compliance and see what they have to offer for your particular industry.

Conclusion
Small businesses really don’t have to store their information in a shoebox! Many document management systems are available for small businesses and provide a greater range of options than ever before.

In decades past, small and start-up businesses were constrained by budgets and cash flow. There were limits to the reach they could extend into the marketplace because advertising and marketing simply cost too much. The cost of operating on a large scale was beyond the reach of small businesses, and equipment and technology came at a high price. Today, however, technology has done a lot to even the playing field for the smaller guys. Indeed, cash flow will always remain a challenge for smaller businesses as they operate on smaller budgets. But the Internet and technology has opened up an avenue for small businesses to reach global markets just as effectively as huge corporations. Let’s look at a few ways in which you can make technology work for you.

Keep Operations Lean and Cost Effective

It is not necessary to have a corporate office space. More and more entrepreneurs are working from home or taking premises in the more affordable side of town. Much less business is done face-to-face so it is not necessary to have an impressive office suite.  All you need to have is a functional space. It just needs to be somewhere where you can have a desk and chair, an internet and phone connection, and perhaps a plug for the coffee machine. Using technology, you can operate your business from just about anywhere. You don’t even need to be office-bound. If you are heading out for a meeting and arrive early, you can use that time to catch up on emails or respond to queries.

Use the Virtual Environment to Employ Staff

Taking on employees is a big step for a small business. Having to pay salaries or wages during the quiet months when the business is not coming in can put a serious strain on the cash flow. Thanks to technology, there is now a wealth of expertise available online. You can contract the services of professionals as you need them without having to take on a long-term commitment. You can get a higher level of expertise because you will only be using them for a set project. You can also use a variety of different people depending on what you need at the time.  In one month, you may need someone who can help you catch up with your admin and organize your time. The next month, you may need someone to make sales calls and set up appointments. You could use one person to write a report or newsletter and another to proofread and format it for you. There is a wide range of expertise available to you and as a small business owner, making use of this expertise can help you grow your business without draining your cash flow.

Keep Telecommunications Costs to a Minimum

It is probably necessary for you to have at least one telephone line. A few years back, it used to be necessary to have two three lines for fax machines and credit card machines. For each line, you would pay for rental and use so your telecommunications costs double or triple each month. Technology now provides a way for you to operate wirelessly to process credit card payments and send faxes online. Traditional advertising certainly still has its place in the market but it is still very costly to maintain. Through technology and the online environment, you as a small business can have access to almost limitless amounts of customers. Get to know how to make the online environment work for you. By using blogging and social media, you can get a whole lot of exposure for your company and products without spending a cent. You can then link that in to advertising that you only pay for when people make an inquiry with you or read your advertisement. It is a far smarter way to promote and grow your business.

When I received my marketing degree 10 years ago, the coursework did not include classes for the types of marketing media that are available today. Having a website then was not as important as it is today. Although we had computer classes, how to design and build a website wasn’t included in the syllabus. How to create effective e-mail marketing campaigns and design e-newsletters were not being taught. The choice of marketing strategies 10 years ago included distributing fliers, word of mouth, radio and television advertising, posting ads in newspapers, Yellow Page listings, and sales letters. Technology has changed how 21st Century small business owners (SBO) market their products and services, as well as their options of communication tools.

Nowadays, 21st Century small business owners marketing strategies include e-mail marketing campaigns, e-newsletters, Google AdWords, writing articles and blogs, participating in target markets forums, and online networking, to name a few. However, word of mouth is yet the most effective and efficient marketing medium. If a small company has a large enough budget, some of the marketing strategies and media of yesterday can still be used. Technology, however, has leveled the playing field. Small business owners have the option of online marketing, which is less costly than the traditional offline methods.

Technology has also changed how businesses communicate. Ten years ago, the only choices were snail mail, fax machines, and telephones. Now, a 21st Century small business or large corporation choices include Skype, e-mail, digital computer camera (webcam), teleconference or virtual meetings, video e-mails, Instant Messaging (IM), GoToMeeting, and GoToMyPC. Skype is software that allows you to use the Internet, headset or speakers, and a microphone to place phones calls around the world. With e-mail software, documents can be sent between recipients as e-mail attachments. Webcam and the Internet are used to perform teleconferences or virtual meetings between two or several people. Webcam is also used for creating videos for video e-mails. IM is real-time conversation between two or more people using typed text and the Internet. Yahoo and MSN provide the software for instant messaging capabilities. 21st Century small business owners have the ability to schedule and attend online meetings with GoToMeeting software and the Internet. Using GoToMyPC, a business owner is able to access his or her PC from anywhere with a web browser or wireless device. In addition, if the owner has a virtual administrative assistant who needs to access his or her desktop to perform certain administrative tasks, the assistant would be able to with GoToMyPC software.

Thus, technology has made it possible for SBO to have administrative assistance without the person being present in their offices. These administrative assistants are known as Virtual Assistants. Technology allows administrative assistants to provide their services virtually. Virtual assistants are business owners also; therefore, they are able to anticipate the business owner’s needs, which make the working relationship beneficial and viable.

Technology has provided 21st Century small business owners with the ability to operate similarly to large corporations. Now SBO can afford to market their products and services. In addition, their budget can accommodate retaining the services of a Virtual Assistant, which will cost less than hiring an onsite administrative assistant. In the last 10 years there have been a lot of changes in how 21st Century small business owners conduct marketing, as well as the choices of communication tools that are available due to technology.

Do you have the right technology in place to take your business to the next level?

Today’s technology solutions are more affordable than ever so leveraging them to your best advantage can help your profits soar.Where to start?

The first step is to ensure that your technology plan is consistent with your overall business strategy. Have you defined your current objectives? Do you want to increase visibility? Do you have a website? How to people find you? Are you depending too heavily on very expensive Yellow Page advertising and ignoring the Internet?Perhaps it is time to streamline your accounting processes and reduce administrative costs with the right software.  Whatever your overall objectives are, investments in technology should ultimately make it easier for customers to find you and do business with you. Do you have an online store, for instance? Is it easy for a customer to order online, pay for their product and be assured that their order will be delivered promptly?

A common checklist of technology-related needs for small businesses might include:

Financial and bookkeeping software such as Quicken.
Website. If your desire is to let people know how to locate you, a simple brochure website will work well. If you are selling products or services online, you will need an e-commerce or WordPress website, depending on your needs. Domain Name. I use and recommend GoDaddy or DomainsPricedRight for domain name purchases, but NOT for hosting. Be sure to purchase most extensions of your domain name such as dot com, dot net, dot biz, etc., to ensure that your name and brand is protected. Each domain name will cost about $11 annually.
Hosting for your website. I use and recommend HostGator for hosting. Depending on the plan you need, your cost range from $4.95 to $12.95 per month.

Shopping Cart. 1ShoppingCart incorporates all of the tools your business needs to market and sell online in a single, easy-to-use web-based solution. If you need an affiliate program, you can build that in your shopping cart. The basic plan (I don’t recommend anything below this plan) will cost $59 per month and the professional plan, which includes affiliate marketing, is $99.00 per month. You can also make application here for a payment gateway through Authorize.net or PowerPay so that you can accept credit card payments on your website.
PayPal account for accepting payments if you don’t currently have a payment gateway. This is free and you will only pay a fee when a payment is made. You will be able to use your PayPal account in place of a payment gateway if you prefer.
Newsletter or email marketing software. Two excellent tools for this are Aweber and Constant Contact.
Social Media Profiles. KnowEm Username Check allows you to check for the use of your brand, product, personal name or username instantly on over 400 popular and emerging social media websites. Grab your name and secure your brand before someone else does. They offer free and premium plans. LinkedIn Profile
Facebook Fan page for your business
Twitter Account
